This thesis was conducted to explore the current difficulties in writing in English of staff at Viard Technology Company Limited and find out some possible solutions for staff’s English writing skills.

To reach the desired target of the present study, the author uses two main research methods, namely the questionnaires and interview Those who provided information to participate in the questionnaires were 20 staff at Viard Technology Company Limited In addition, the interview was carried out with staff and managers at Viard Technology Company Limited.

The data and result were collected and analyzed showing that staff at Viard Technology Company Limited do recognize that using English in business is important and necessary Even so, they still encounter some difficulties in writing in English to their customers such as grammar, vocabulary, expression and knowledge Based on the analysis and discussions, some practical solutions to the difficulties along with findings for better performance were proposed at the end of the study Hopefully, this paper will be of great value for business staff while using English in writing to contact their customers and useful for further studies.

CHAPTER 1: OVERVIEW OF THE STUDY1.1 Rationale

In the era of international integration, we cannot deny English has become the most crucial foreign language not only in the international market but also in Vietnam English has dominated the world in most fields such as science, technology, media, electronic communication, publishing, music, economy, international transactions, etc Currently, there are more than 380 million people around the world using English as a native language and around 250 million people using English as a second language It makes a significant contribution to dramatic global development.

In Vietnam, we can realize that the best and the shortest way for us to achieve success in our career is making us become a master in English To get this, people have to be professional in four skills: listening, speaking, reading and writing The business industry is very diverse because it includes workers and clients with different languages, ethnicities and cultures in the world, which makes the English language essential for effective communication Beside speaking English, we can see that English writing skill is very vital for workplace, especially in business With the help of digital technology, there are more and more ways for us to communicate with customers by writing In companies working with foreigners, hundreds of emails or texted messages are sent every day Therefore, English writing skills become more and more necessary than ever.

In reality, the use of English of employees at the company is not as good as the company expected, especially in Viard Technology Company Limited, a company providing service in homework for foreigners Therefore, Viard Technology Company Limited has to do business with many clients who come from

company gives to recruit the majority of the staff To become an international staff, you need to cultivate both knowledge and languages Staff at Viard Technology Company Limited also face up with many difficulties when communicating with foreigners, including writing English.

In this study, I will explore the difficulties in writing English of the staff at Viard Technology Company Limited and support some suggestions for the staff to improve their English writing With the aim to help the staff at the company

enhance their English writing, I carry out this study with the title: “Problems andSolutions to Improve Writing Skills for the Staff at Viard TechnologyCompany Limited”.

1.2 Previous studies

To complete a good graduation paper, while making this thesis I have consulted it and selected some good ideas from studying: A study: "Business writing skill" (By students of Charle Sturt University, 2008) reviews particular style and standard of some common correspondence type such as email, reports, memos, mentions, requirements and skills necessary for formal business writing Besides, the authors also instruct the readers how to improve each of the type and give them quick writing tips in order to create a professional document The study by Aliya Aimoldina, Sholpan Zharkynbekova and Damira Akynova (Philology Department, L.N.Guimilyov Eurasian National University, Kazakhstan), which examines into Pragmatic Failures, is also fairly interesting to discuss here In this study, the trio has identified a number of reasons for pragmatic failures in communication through "A mixture of different genres in one text with a combination of several communicative purposes, a lack of language skill of the authors written in English, etc" According to Aminoldina and his partners, being aware of communication breakdowns are "especially crucial in communication since improper order interpretation of business messages may lead to failure of business information, waste interpretation of business messages may lead to failure of business information, waste of financial assets, or the legal responsibility The identification

of the most frequent failures arising during the conduction of writing letters by business professional is extremely essential Improvement in business letter writing skill has become more and more urgent nowadays In the article “Business and Report Writing Skill", it is asserted that "Many in the workforce today struggle with the basics of writing including grammar, spelling and punctuation The styles and skills required for formal business writing are best developed by practice and experience, but with the right tools and know- how it is not hard to improve" (Charles Sturt University 2008)

To sum up, there are some previous studies on errors and improving of writing business documents All the studies show that different aspects of the problem give the reader a more multidimensional view and to recognize the importance of improving writing skill for us in general and for employees in particular In this part of the study, some previous studies related to this study will be reviewed to identify English wring email errors and proposed some solutions to improve English writing skills for Viard Technology Company Limited

1.3 Aims of the study

Based on major findings of previous research relating to writing skill, and the reality in writing English of staff at Viard Technology Company Limited, this study is carried out with the aim to identify common difficulties in writing English of the staff at Viard Technology Company Limited when writing to communicate with their customers By recognizing those obstacles, I would like to suggest some solutions for the staff to enhance their English writing ability.

1.4 Research subjects

This research is designed with the participation of twenty staff and directors at Viard Technology Company Limited All of the staff are different in English

In order to achieve the aims, this research is carried out by answering two following research questions:

1 What are the difficulties in writing English of the staff at Viard Technology Company Limited?

2 What are some solutions to improving their writing skills?

1.5 Scope of the study

Due to the limitations of time to carry out this study and my limited knowledge, I only focus on finding out the difficulties in writing English of the staff at Viard Technology Company Limited.

This study is conducted during and after my internship time (lasting from 5th

February 2021 to 31st March 2021) I hope that this study is going to reveal the biggest challenges of writing English of the staff and help them take into practical solutions to enhance their English writing abilities

1.6 Methodology

1.6.1 Context of the study

Viard Technology Company Limited is a company specializing in providing clients with helping in homework's service

With the aims and tasks, the staff in the company are required to communicate with many people from over the world They are from America, Europe, Japan, Korea, etc It means that their work is related to English very much To fulfill the

business, they have to negotiate each other by one language and English is a great choice

1.6.2 Participants

Due to the growing number of foreign companies in Vietnam, it appears that the role of English language has been appreciated more than ever As English is the standard language for people to meet together in communicating, negotiation, transaction and other purposes of their business in the period of integration Reading in English is essential for maintaining professional knowledge, as it is the language most often used in international journals, contracts and instructions Writing tends to be the most important skill in service industries where social interaction is a big part of the job.

This study is carried out in Viard Technology Company Limited The respondents of the study were 20 employees mostly from some departments: Customer Support (Sale), Human Resources, Quality Department The employees in these departments use writing skills more often than others; therefore, they were chosen as the respondents They use English writing skills to communicate with internal and external workplaces.

1.6.3 Research methods

Varieties of quantitative and qualitative research methods are available to the researcher such as interviews, questionnaires, observation, experiments, and case studies This research is a descriptive qualitative study involving 20 staffs at Viard Technology Company Limited Due to their advantage and convenience, two research instruments, namely questionnaires and interviews were used to collect data serving for this study They will be discussed in details below.

1.6.3.1 Instruments

Accurate and systematic data collection is very necessary to conduct scientific research Data collection allows us to collect information that we want about our study objects According to McMillan and Schumacher, the data used in research should be collected through various instruments to maximize their validity.

The primary source of this study is taken from respondents by giving answers for questionnaire The questionnaire is chosen as a data collection method for the study and designed for the staff at Viard Technology

The questionnaire contains 16 questions In more detail, it is divided into 3 parts This first part was designed for collecting general information of the employees Questions in part 2 aim at finding out the reality of the employee’s writing skills at workplace such as the common errors in English writing which the employees often find difficult Part 3 mainly seeks for the solutions and suggestions that the employees need to improve writing skills In general, it can be said that the questionnaire is the most useful tool for researchers to collect data quickly and fully

The interview has two main questions related to the difficulties and some real situations participants face at workplace as well as recommend some solutions to solve them

This type is face-to-face interview The interview is conducted with the staff All of them agreed to help the researcher comfortably.

After the interview, the researcher will gather information and base on the results to analyze the data

1.6.3.2 Data collection procedures

In the first step, the questionnaires were sent to the staff at Viard Technology Company Limited Data collection allows us to collect information that we want about our study objects According to McMillan and Schumacher, the data used in the research should be collected through various instruments to maximize their validity The survey questionnaires were directly delivered to employees, all of the questionnaires were returned to the author All of the questions in the survey delivered to the informants were written in Vietnamese to make sure to raise the reliability of the topic Another English version was made for better reference to the study The questionnaires include three parts: general information and the questions concerning the topic, which consist of both closed questions and opened questions Some questions have more than one choice so the total percentage may be higher than 100%.

The second research tool which was used in this study was the interviews The questions were pre-determined The interviews were conducted with some staffs and managers To make the data reliable and accurate, all the questions were made in Vietnamese The interview questions included specific example and experience of the staff when they have difficulty in speaking as well as possible solutions of the staff and managers at Viard Technology Company Limited The interviews were simultaneously conducted with the survey questionnaires The interview data analysis will be presented with the collected data from the questionnaires in each part.

1.6.3.3 Data analysis methods

Data analysis is a process of inspecting, cleaning, transforming and modeling data with the goal of highlighting useful information, suggesting conclusions and supporting decision making When data collection is accomplished, the data analysis started.

In terms of obtained data in the questionnaires, the results were collected, condensed, quantified, and analyzed by means of the Microsoft Excel software according to the percentage In terms of interviews, the data were synthesized in the form of comparative statistics with the ones from questionnaires Then the data illustrated and systematized in charts and tables for a clear description of the findings, helps to confirm the results from survey questionnaires.

Lastly, all the data collected from the two instruments were grouped under two main areas as mentioned in the first part of the research In details, the results of the questionnaires, which will be analyzed under two main areas, include the difficulties in writing English of the staff at Viard Technology Company Limited and possible solutions whereas the interviews help to double-check the information and deeper understand the factors to have an overview of the situation.

1.7 Organization of the study

The study consists of five parts as follows:

Chapter 1: Overview of the study provides an introduction to the study

which includes the reason for conducting the study, review of the previous study associated to the topic, the aims, research subject, the scope, the research methodology and the organization of the study.

Chapter 2: Literature review presents the review of the literature with

theoretical and fundamental principles.

Chapter 3: Research findings is the main part of this study, it is the results of

research and investigation in fact This part points out the collected data after applying research methodology to investigate.

Chapter 4: Recommendations and suggestions provide some implications,

limitations and recommendations for further research.

Besides, the study also concludes some other parts: abstract, acknowledgements, table of contents, list of abbreviations, list of figures together with conclusion, reference and appendix.

CHAPTER II: LITERATURE REVIEW2.1 Overview of Writing skill

2.1.1 Definition of Writing and Writing skills

2.1.1.1 The Definition of Writing

There are many different ways to define writing, each expert has their own view about writing and writing skills In this paper, some of the important expert’s views are mentioned for the better understanding of the writing skills

Brown (2001: 336) identifies writing as the process of putting ideas down on paper to transform thought into words, to sharpen your main ideas, to give them structure and coherent organization Oshima & Hogue (2007: 15) state that writing never is a one-step action; it is an ongoing creative act Writing is a repeated process, namely the process of revising and rewriting

According to Nunan (2003), writing can be defined by a series of contrasts: It is both a physical and a mental act Writing is the mental act of committing words or ideas to some medium On the other hand, writing is the mental work of inventing ideas, thinking about how to express them and organizing them into statements and paragraphs that will be clear to a reader Its purpose is both to express and impress The writers serve two masters: themselves and their own desire to express an idea or feeling and readers who need to have ideas expressed in certain ways Then choose the best form for their writing It is both a process and a product The writer imagines, organizes, drafts, edits, reads and rereads are the process Meanwhile, what the audience sees is a product

From the above definitions, it is concluded that writing is a process of activities, which includes thought and mental efforts In writing, we can share our own ideas, feelings or anything that exists in our mind

2.1.1.2 Classification of writing skills

Robin Jeffrey (2017) state that: “There are four main types of writing expository, descriptive, persuasive and narrative Each of these writing styles is used for a specific purpose A single text may include more than on writing style.”

A writer’s style is a reflection of his or her personality, unique voice, and way of approaching the audience and readers However, every piece which writers write is for a specific purpose—for example, writers may want to explain how something works or persuade people to agree with their point of view While there are as many writers’ styles as there are writers, there are only four general purposes that lead someone to write a piece, and these are known as the four styles, or types, of writing (according to Syed Hunbbel Meer) These types of writing include:

Expository writing is one of the most common types of writing When an

author writes in an expository style, all they are trying to do is explain a concept, imparting information from themselves to a wider audience Expository writing does not include the author’s opinions but focuses on accepted facts about a topic, including statistics or other evidence.

For example:

Many people associate the taste of pumpkins with fall In October, companies from Starbucks to McDonalds roll out their pumpkin-flavored lattes and desserts Here is how to make an easy pumpkin pie using only five ingredients First, make sure you have all of the ingredients.

This writing will be about how to make a pumpkin pie Therefore, it is expository because it is explaining.

Descriptive writing is often found in fiction, through it can make an

appearance in nonfiction When an author writes in a descriptive style, he is painting a picture in words of a person, place or thing for their audience The author might employ metaphor or other literary device in order to describe the author’s impressions via their five senses (What they hear, see, smell, state or touch) But the author cannot try to convince the audience of anything or explain the senses For examples of descriptive writing are poetry, journal, diary writing, description of nature.

Persuasive writing is a main style of writing you use in academic papers.

When the author writes in a persuasive style, they are trying to convince the audience of a position or belief Persuasive writing contains the author’s opinion and biases as well as justifications and reasons given by the author as evidence of the correctness of their position Examples of persuasive writing are cover letter, review of items, letter of complaint advertisement and letter of recommendation.

Narrative writing is used in almost every longer piece of writing, whether

fiction or nonfiction When an author writes in narrative style, they are not just trying to impact information, they are trying to construct and communicate a story, complete with characters, conflict and settings Examples of narrative writing are oval histories, novels, poetry, short stories.

This study researches more on persuasive writing with examples of business correspondence- email In the information age, email has become a dominant form of communication Being able to write a polished, professional email is now a critical skill both in college and at the workplace Good writing skill can give a greater sense of professionalism Professionalism should be reflected in form of outgoing communication, including business cards, brochures and an email signature Individuals who have a writing email skill- may be more likely to maintain good relationships with their business partners and clients than those who reply solely on their own eyes.

2.1.2 Importance of Writing skills

Bacon (1989) rightly says, “Reading makes a full man, conference a ready man, and writing an exact man” Writing is a significant medium and it is used for various purposes First, writing aims to capture a thought or idea then transfer it to a permanent format, making it tangible Thanks to this process, it helps develop learners’ ability in summarizing, analyzing and criticizing a specific topic Second, it helps increases your knowledge, creativity & imagination Effective writing ensures a writer to be smart enough as he/ she writes with his experience as well as creativity While writing anything, a human brain uses every part of the brain and cells If a person is writing his/ her life experiences, travel experience, article for a blog, editorial or anything else, all his knowledge related to that, memories, incidents, success and failures, present situations and future possibilities, everything comes out of writing This ultimately increases awareness, improves memory, makes you sharp and increases your creativity and imagination Moreover, the need to learn to write in English for academic and occupational purposes is increasing In the field of education, writing plays a dominant role in writing projects, assignments, examinations, etc In fact, writing is the only medium through which learners are assessed formally in schools, colleges and universities Written tests are administrated, even for job placements If you have good writing knowledge, it is easier for you to get a good job Because employers give priority to writing ideas than academic marks today.

2.1.3 Characteristics of writing skills

2.1.3.1 Complexity

Written language is relatively more complex than spoken language Written

are shorter and the language has more grammatical complexity, including more subordinate clauses and more passives Written language is relatively more complex than spoken language (Biber, 1988; Biber, Johansson, Leech, Conrad & Finegan, 1999; Chafe, 1982; Cook, 1997; Halliday,1989) Written texts are lexically dense compared to spoken language - they have proportionately more lexical words than grammatical words Written texts are shorter and have longer, more complex words and phrases They have more noun-based phrases, more nominalizations, and more lexical variation Written language is grammatically more complex than spoken language It has more subordinate clauses, more "that/to" complement clauses, more long sequences of prepositional phrases, more attributive adjectives and more passives than spoken

2.1.3.2 Formality

Writing skill is relatively formal In general, this means that in an essay you should avoid:

a colloquial words and expressions; ""stuff", "a lot of", "thing", "sort of" b abbreviated forms: "can't", "doesn't", "shouldn't"

c two word verbs: "put off", "bring up"

d sub-headings, numbering and bullet-point in normal essays- but use them in report

2.1.3.3 Precision

In writing English, facts and figures are given precisely In writing English, you need to be precise when you use information, dates or figures Do not use "a lot of people" when you can say "50 million people"

For example: Chemists had attempted to synthesize quinine for the previous hundred years but all they had achieved was to discover the extreme complexity of the problem The volatile oily liquid beta-chloro -beta-ethyl sulphide was first synthesized in 1854, and in 1887 it was reported to produce blisters if it touched the skin It was called mustard gas and was used at Ypres in 19I7, when it caused many thousands of casual ties It is approximately eight inches in length and runs from the urinary bladder, through the prostate gland, under the front of the pelvis, and, passing through the corpus spongiosum, it ends at the tip of the glans penis in an opening called the urethral meatus.

2.1.3.4 Objectivity

Written language is in general objective rather than personal It therefore has fewer words that refer to the writer or the reader This means that the main emphasis should be on the information that you want to give and the arguments you want to make, rather than you For that reason, writing English tends to use nouns (and adjectives), rather than verbs (and adverbs) This is related to the basic nature of study and writing English, in particular Nobody really wants to know what you "think" or "believe" They want to know what you have studied and learned and how this has led you to your various conclusions The thoughts and beliefs should be based on your lectures, reading, discussion and research and it is important to make this clear

2.1.3.5 Explicitness

Writing English is explicit about the relationships in the text Furthermore, it is the responsibility of the writer in English to make it clear to the reader how the various parts of the text are related These connections can be made explicit by the

2.1.3.6 Accuracy

Writing uses vocabulary accurately Most subjects have words with narrow specific meanings Linguistics distinguishes clearly between "phonetics" and "phonemics";

General English does not In writing you need to be accurate in your use of vocabulary For example, "phonetics" and "phonology" or "grammar" with "syntax" Choose the correct word, for example, "meeting", "assembly”, "gathering" or "conference" Or from: "money", "cash", "currency", "capital" or "funds".

2.2 Difficulties in writing in English

It can be said that it is very difficult to conquer a second language, especially in English The English language is one of the most popular languages to learn, perhaps the most spoken language around the world is English, and many people choose to learn the language simply to place them in a better position to secure work, or communicate more effectively with more people from around the globe English might be a major language to learn, but this does not necessarily mean it is a simple language to master, there are many challenges people face when learning English And writing is one of the most important English skills Quite a lot of people face difficulties in writing English There are many experts who have discussed this issue.

The ability to write does not come naturally but requires regular study and practice This means that, in order to develop writing skills, learners need to spend time practicing writing and reading a lot of documents The process of learning to write English as a foreign language is often affected by factors such as lack of motivation, limited reading activities and the influence of the mother tongue.

In many studies, motivation is always considered necessary to succeed Harmer (2006a) points out that "People involved in language teaching often say that students who want to learn will succeed whatever circumstances in which they study They succeed despite using methods which experts consider unsatisfactory In the phase of such a phenomenon, it seems reasonable to suggest that the motivation that students bring to class is the biggest simple factor affecting their success." It shows that motivation helps learners to improve their interest towards writing Learners with high level of motivation do good learning and writing and achieve good results Students with low level of motivation, find writing complex and also sense failure.

Reading is a useful tool in helping learners improve their writing ability because the reading process helps learners gain access to content written by others In this view, Eisterhold (1997) asserted “better writers tend to be better readers, better writers read more than poorer writers, and finally better readers tend to produce more syntactically nature writing than poorer reader” In writing lessons, reading is often applied and regarded as a warm-up activity for writing because by reading samples, it helps students visualize the basic structure of the writing later Many studies have shown that the more people read, the more they will have access to the new language to better understand vocabulary structure, idioms, sentence structure, idea organization, and weaknesses In other words, reading is a prerequisite for writing and plays an important role in developing learners' writing skills Therefore, it can be affirmed that one of the reasons why English language learners have difficulty writing is the limitation of practicing reading or not having the habit of extensive reading.

It is widely recognized that the mother tongue is also one of the factors influencing learners in the process of learning a foreign language in general and learning writing skills in particular Learners often have the habit of thinking in

Friedlander (1997) indicated that writers often apply both good and bad writing skills from their native languages to the target languages The issue is that even when the learners can write very well in their native language, this does not mean they will be able to write well in another foreign language and vice versa.

There are many existing factors affecting the writing skills but the three above mentioned factors are the crucial ones which most language learners often face.

2.3 Overview of writing English skills at the workplace

2.3.1 The importance of writing skills in business

Communication skill in an intercultural context is an important requirement for people working in business In such a context, the role of the English language has become increasingly necessary since it has been recognized as the global language commonly used as the tool for communication by native and non-native speakers of English all around the world English plays an important role in business as a tool for workers to communicate, negotiate and execute transactions with clients While many job ads often mention of oral and written communication skills, employees and employers alike sometimes neglect the importance of good writing in the workplace When a worker writes well, she/he will make a good impression, demonstrates courtesy, attention to detail and intelligence In addition, employees who have good written communication skills benefit their company by ensuring quality communications with clients, prospects and other outside interests

development of English This requires a demand for high-quality human resources They need candidates who are not only professionally knowledgeable but also fluent in foreign languages Moreover, the company is in the field of service for foreigners, Viard Technology Co Ltd has to work with customers from many countries using different languages so it requires the staff to be good at English, especially in writing skills Thus, English is major foreign language used at Viard Technology Co Ltd English has become a vital part of the company and is the key to open up opportunities in developing current market and to look for foreign market.

However, it cannot be denied that the number of employees who are proficient in writing in English is small Most of them are only able to read specialized English but not able to effectively communicate and write in such language This hinders a lot when there has sudden work related to English.

CHAPTER III: RESEARCH FINDINGS

This chapter deals with the collected data and analyzes statistics implementedon the responses to the survey questionnaires as well as the interview questionsabout improving English writing skills of employees at Viard Technology Co., Ltd.

With the support of Microsoft Office Excel 2016, the data is presented in theform of tables and charts, which will help to show the results and answer theresearch questions The findings of the research are presented as followed:

3.1 Result Findings

This section aims to present the statistical results and the data analyses in order to answer the research questions addressed in the present study respectively Firstly, the results of the employees at the company are presented and analyzed quantitatively The second section provided the results and analyzed writing errors encountered by the subjects The third section deals with how to improve writing skills for employees.
